The period
Period

Loaded and empty. Adds per-mile figures.

Revenue

What customers or your carrier paid you for the period, before deductions.

Expenses

Your lender's statement splits each payment into interest and principal. Only interest goes here. On a true lease, put the whole lease payment here.

Leave at 0 if you don't track it. Your tax preparer's depreciation schedule has the number.

Actual meal costs, or the per diem amount you claim for the period.

Loan principal (not an expense)

The principal part of a loan payment pays down what you owe. It doesn't lower profit, but it does leave your bank account, so it's shown as a cash line.

How this calculator works

Net profit = gross revenue − total expenses. Gross revenue is everything you billed or were paid before deductions: line haul, fuel surcharge, accessorials, and anything else. Total expenses is every cost of running the truck for the same period.

Operating ratio = total expenses ÷ gross revenue. It tells you how many cents of every revenue dollar went out the door. Under 100% means you made money. Over 100% means you paid to haul freight.

Profit margin = net profit ÷ gross revenue. It's the flip side of the operating ratio, and the two always add up to 100%.

Loan payments are split. Only the interest part of a truck or trailer loan payment is an expense on a P&L. The principal part pays down the loan, so it doesn't lower profit. The calculator still shows it as a cash line, because the money still leaves your account. If you track depreciation, add it as an expense. It's how the truck's cost shows up on a P&L, even though no cash leaves your account for it.

Enter miles to get revenue, expense, and profit per mile for the period. Nothing you type is sent anywhere. The math runs in your browser, and so does the PDF.

This is a bookkeeping statement for you, a lender, or your tax preparer. It isn't a tax return. What you can deduct, and how much, is a separate question.
